Top Health Talent ("we", "us") runs a marketplace that connects healthcare facilities with credentialed clinicians (such as CNAs, LVNs and RNs) for per-diem shifts. This policy explains what information we collect, why, who we share it with, and the choices you have. It applies to our website tophealthtalent.com and our mobile apps.
Information we collect
- Account details: name, email, mobile number, password (stored only as a one-way hash), and your role.
- Professional credentials (clinicians): license and certification numbers and expiry dates, and the documents you upload: license, BLS card, TB test, health screening, background check, government photo ID and W-9 tax form. Some of these contain sensitive information such as your date of birth, government ID details and, on the W-9, your taxpayer ID.
- Date of birth: used to screen against the federal HHS-OIG List of Excluded Individuals/Entities.
- Location: your home ZIP code (to show shifts near you) and your device's precise location only at the moment you clock in or out, with your permission, to confirm you are at the facility. We do not track your location at any other time.
- Work records: shifts you book, cancel or work, clock-in and clock-out times, timesheets, ratings from facilities, and reliability records such as late cancellations and no-shows.
- Payment details: earnings, payouts and the payout destination you give us (for example a Zelle email or phone). When direct deposit is available, bank details are entered on our payment processor's secure pages and are not stored by us.
- Facility staff: name, work email and phone, and the shifts, approvals and invoices you handle.
- Technical information: IP address, browser and device type, and a sign-in cookie that keeps you logged in. We do not use advertising cookies or trackers.
How we use it
- To verify that clinicians are licensed, certified, not excluded from federal healthcare programs, and eligible for each shift.
- To show and book shifts, confirm attendance, record hours, invoice facilities and pay clinicians.
- To send service messages: shift alerts, reminders, approvals, payment updates and security codes (see Text Message Terms).
- To keep the marketplace safe and reliable, prevent fraud, resolve disputes, and meet legal, tax and regulatory obligations.
Who we share it with
- Facilities where you book a shift: your name, role, phone number, verification status and reliability record (ratings, shifts completed, no-shows). Where a facility, surveyor or regulator requires it for compliance, we may provide credential verification records for clinicians who worked there.
- Service providers who work for us under contract: hosting, text messaging and email delivery, payment processing, background checks and license verification. They may use your information only to provide their service to us.
- Legal and safety reasons: when required by law, subpoena or regulator, or to protect patients, clinicians, facilities or the public.
- Business transfers: if Top Health Talent is merged or acquired, subject to this policy.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
How long we keep it
We keep your information while your account is open. When you delete your account, we delete or anonymize your personal information and uploaded documents, except records we must keep by law or contract. Examples are payment and tax records (generally 7 years), and timesheets, invoices and credentialing records for shifts you worked. Those retained records are kept secure and used only for that purpose.
Security
All traffic is encrypted (HTTPS). Uploaded documents are stored outside the public website and can be opened only by you and our credentialing staff. Passwords and reset codes are stored as one-way hashes. Access to personal information is limited to staff who need it to do their jobs.
Your choices and rights
- Access and correct: see and update your details and documents in the app, or ask us.
- Delete: use Delete my account in the app (Home → Account), or email us.
- Texts: turn them off in the app or reply STOP at any time. You'll get email instead.
- Location: you can deny location permission. You won't be able to clock in until you allow it for that moment, so contact us to arrange another way.
- California residents have the right to know, access, correct and delete personal information, to limit the use of sensitive personal information, and not to be discriminated against for exercising these rights. We use sensitive personal information only to provide our service. To make a request, email hello@tophealthtalent.com. We will verify your identity before acting on it.
Children
Our service is for adults 18 and over. We do not knowingly collect information from anyone under 18.
Changes
If we make material changes, we'll tell you in the app or by email before they take effect.
